Sparks Group has partnered with a mission-driven organization to recruit a contract Project Manager who will oversee a high-visibility, multi-city global event series. We are seeking an experienced Project Manager to lead planning, coordination, and execution across all locations. The ideal candidate is a seasoned project manager with strong event experience, exceptional communication skills, confidence interacting with senior leaders, and the ability to drive clarity and progress in a fast-moving environment.
Event Strategy & Planning
- Develop and execute a comprehensive project plan for a global multi-symposium event series.
- Define, document, and track all deliverables and success metrics aligned with organizational goals.
- Secure and manage agreements with multiple host institutions and coordinate program/session planning with internal meetings teams.
- Manage iterative legal/stakeholder review processes across multiple institutions.
- Collaborate with cross-functional partners to define event scope, audience, and messaging.
- Run weekly team meetings, capture notes, and manage actions to closure.
- Build and maintain detailed timelines for each symposium (registration, marketing, communications, production).
- Oversee vendor management and production schedules.
- Identify and mitigate risks across locations.
- Track registration for all events against goals (attendance + revenue).
- Process travel and expense reimbursements for approximately 80 external speakers, ensuring policy compliance.
- Coordinate closely with internal teams, leadership stakeholders, and executive sponsors.
- Provide consistent, comprehensive project updates across workstreams.
- Troubleshoot issues quickly and effectively with partner teams.
- Lead debriefs with internal and external stakeholders after each symposium.
- Gather and analyze attendee and stakeholder feedback.
- Evaluate event performance against KPIs and document recommendations.
- Capture best practices to enhance efficiency across the remaining event series.
Qualifications/Background Profile:
- Strong understanding of event logistics, vendor management, and budgeting.
- Experience managing international events or multi-city event series highly preferred.
- Excellent organizational, communication, and problem-solving skills.
- Professional presence with stakeholders at all levels (executives, partners, speakers, vendors).
- Proficiency with project management tools (e.g., Asana), event platforms (e.g., Cvent), plus Excel and PowerPoint.

This job is Hybrid Remote.
Pay Range: Hourly $31.00 to $35.00
